Privacy policy
Effective October 11, 2026
PipeHalo LLC ("PipeHalo," "we," "us") provides software that analyzes advertising and sales pipeline data for business customers. This policy explains what information we collect through our website and service, how we use it, who we share it with, how long we keep it, and the choices you have.
The short version: we use the data you connect only to provide PipeHalo to you. We do not sell it, we do not use it for advertising, we do not use it to train AI models, our staff can see your workspace's data only with an access code your admin creates, and you can disconnect or delete it at any time.
Who this policy covers
This policy applies to visitors to pipehalo.com, to people who request a demo, and to people who use the PipeHalo service on behalf of a business customer. When a business customer connects its accounts to PipeHalo, that customer controls the data and we process it on the customer's behalf under our agreement with them.
Information we collect
Information you give us
- Contact and demo requests. When you email us or request a demo, we collect your name, work email, company and what you tell us, such as your monthly ad spend range and which CRM you use. If you arrived from one of our ads or links, we save the campaign tags (UTM parameters) in that link with your request.
- Account details. When you sign up or are invited, we collect your name, work email, company and role. PipeHalo is for work accounts; we do not accept personal email addresses. You sign in with a one-time code sent to your email or, where offered, with your Google or Microsoft work account. We do not store passwords.
- Billing details. For paid plans we collect a billing contact's name, email and address, and your plan and seat count. Card details are entered directly into our payment processor's secure form; PipeHalo never receives or stores full card numbers.
- Support requests. What you send us when you ask for help, including any report or flag details you choose to share.
Information from accounts you connect
When an authorized user connects an advertising or CRM account, PipeHalo receives read-only access through that platform's official API, using permissions the user approves. Depending on what is connected, this includes:
| Platform | What we read |
|---|---|
| LinkedIn Ads | Ad account details and campaign, ad and audience settings and performance metrics, such as spend, impressions, clicks, conversions, frequency and audience size. Company-level engagement reports where available. |
| Google Ads | Account, campaign, ad group, ad and keyword settings and performance metrics, such as spend, impressions, clicks and conversions. |
| Meta Ads | Ad account details and campaign, ad set and ad settings and performance metrics, such as spend, reach, frequency, clicks and conversions. |
| Salesforce and HubSpot | Opportunity or deal records, including amount, stage, dates, source and campaign fields, and the related account or company name. Contact-level fields are read only when needed to link a deal to its source; we do not store contacts' names, email addresses or phone numbers. |
We do not post, edit, pause or create anything in connected accounts. We do not access private messages.
We also measure the total active ad spend across a workspace's connected ad accounts, because paid plans are priced by ad spend (see our terms of service).
Information collected automatically
- Technical and security logs. Our website and service record basic technical information, such as IP address, browser type, pages visited and timestamps, for security, troubleshooting and service reliability.
- Activity in the service. We record actions taken in a workspace, such as who connected or disconnected an account, changed a plan or seats, or marked a flag done, so admins can review them and so we can investigate problems and enforce our terms.
- Error reports. When something breaks, an error monitoring provider receives the error message, the page or route where it happened and the browser type. We remove cookies, request contents, IP addresses and who was signed in before sending. An error message can occasionally include the name of the campaign or account it concerns.
- Email delivery. Our email provider tells us whether our emails were delivered, bounced or opened.
We use only the cookies needed to sign you in and keep the service secure. We do not use advertising cookies or cross-site tracking on pipehalo.com or in the PipeHalo app.
How we use information
- To provide the service: importing and organizing connected data, detecting issues, generating explanations and recommendations, producing reports and sending the Monday Brief and other emails you set up.
- To run demos and billing: setting up sample workspaces, measuring ad spend for plan limits, charging for plans and seats, sending invoices and receipts, and processing money-back refunds, including checking whether a company has already used the guarantee.
- To operate and secure the service: authentication, preventing abuse and fake sign-ups, troubleshooting, monitoring and keeping audit records.
- To communicate with you about your account, demo, billing, plan changes, connection problems and the service.
- To improve PipeHalo and describe its results, using only aggregated, de-identified information as described below.
- To meet legal obligations and enforce our terms.
We do not sell or share personal information or connected-account data for advertising. We do not use connected-account data to build profiles of individuals or to train or improve general-purpose AI models.
Aggregated, de-identified results
We may combine results across many workspaces into statistics that do not identify any customer, person, account, campaign or creative, such as the typical change in cost per opportunity after three months of using PipeHalo. We use these statistics to improve PipeHalo and may publish them to describe what PipeHalo does. We never name a customer or publish its own numbers without its written permission, and we do not try to re-identify de-identified data. Data received from Google APIs is used this way only as the Google API Services User Data Policy allows.
AI processing
PipeHalo uses an AI model provider's commercial API to write explanations, recommendations and summaries. Rules in PipeHalo decide what to flag; the AI explains it. We send only the data needed for each task, such as one flag's numbers and its campaign's name, goal and budget. Under the provider's commercial terms, data sent through the API is not used to train its models.
Google user data
PipeHalo's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements. We use Google Ads data only to provide and improve the user-facing features of PipeHalo, we do not transfer it to others except as needed to provide the service, comply with law or as part of a merger or acquisition, and we do not use it for advertising. Humans do not read this data unless you give permission, it is needed for security or legal reasons, or it has been aggregated and anonymized for internal operations.
Who at PipeHalo can see your data
PipeHalo staff can see account-level details needed to run the service, such as workspace name, plan, seats, billing dates, which platforms are connected and whether syncs are working. They cannot see your campaign, CRM, flag or report data unless a workspace admin gives them a support access code:
- An admin creates the code in Settings → Support access and chooses how long it lasts.
- With the code, support can view the workspace read-only for that period. They cannot change your data or connected accounts.
- Every page support views is recorded in our internal audit log. The admin can revoke the code at any time, which ends support access immediately.
Staff access is limited by role, requires two-step sign-in, and is reviewed regularly. We may also access data without a code where needed to investigate a security incident or abuse, or where the law requires it.
How we share information
We share information only with service providers that help us run PipeHalo, under contracts that limit their use of it to providing services to us. We use these kinds of providers:
| Kind of provider | Purpose |
|---|---|
| Cloud hosting | Running the website and application |
| Database and sign-in | Storing account and connected-account data, and signing users in |
| AI model provider | Writing explanations, recommendations and summaries |
| Payment processing | Subscriptions, card payments and invoices |
| Email delivery | Sending sign-in codes, the Monday Brief, reminders, reports and account emails |
| Error monitoring | Alerting us when something in the application breaks |
| Business email and documents | Corresponding with customers and handling demo and support requests |
Customers can get the current list of these providers, with where each processes data, by emailing [email protected]; it is also part of our data processing agreement. We will tell customer account admins by email at least 30 days before adding a provider that will process connected-account data, so they can raise any concerns before it takes effect.
When you send a report from PipeHalo, it goes to the people you choose. We may also disclose information if required by law, to protect the rights and safety of PipeHalo or others, or as part of a merger, acquisition or sale of assets, in which case this policy will continue to apply to the transferred information.
How long we keep information
| Information | How long |
|---|---|
| Connected-account data | While the connection is active and your account is open, so we can show trends over time. We collect up to 13 months of history when you connect. |
| Data from an account you disconnect | We stop collecting right away. You can ask us to delete what was already collected. |
| Demo (sample) workspace | Contains only made-up sample data. It closes after 7 days and is deleted shortly after. |
| Demo requests and sales correspondence | As long as useful for our relationship with you, or until you ask us to delete them. |
| Closed customer account | Connected-account data is deleted within 30 days of closing, except limited records we must keep by law. |
| Billing, invoice and refund records, including which companies have used the money-back guarantee | As long as tax and accounting law requires. |
| Audit records of account and staff actions | 2 years. |
| Error reports | 30 days. |
Backups are overwritten on a regular cycle, so deleted data also leaves our backups within that cycle. To request deletion, email [email protected]. Step-by-step instructions are on our data deletion page.
Revoking access
A workspace admin can disconnect any platform from within PipeHalo. You can also revoke PipeHalo's access directly from each platform:
- Google: Google Account third-party access
- LinkedIn: Settings, then Data privacy, then Permitted services
- Meta: Business Settings, then Integrations, or Settings, then Business integrations
- Salesforce and HubSpot: your administrator can remove PipeHalo from connected apps
Security
We protect information with encryption in transit and at rest, encrypted storage of access tokens, separation of each customer's data, role-based access, two-step sign-in for our team, code-gated support access and audit logging. No system is perfectly secure, and we will notify affected customers of a security incident as required by law and our agreements.
Your choices and rights
Depending on where you live, including California and the European Economic Area, you may have rights to access, correct, delete or receive a copy of your personal information, and to object to or restrict certain processing. To make a request, email [email protected]. If your information is in PipeHalo because your employer uses the service, we may direct your request to them. We will not discriminate against you for using these rights.
You can turn off optional emails, such as flag notifications, in PipeHalo. Emails about security, billing, plan changes and data deletion are always sent while you have an account.
International transfers
PipeHalo is based in the United States, and our service providers process data in the United States. If you use PipeHalo from outside the United States, your information will be transferred to and processed in the United States.
Children
PipeHalo is a business service and is not directed to anyone under 18. We do not knowingly collect information from children.
Changes to this policy
We will post any changes on this page and update the effective date. If a change materially affects how we use connected-account data, we will notify customers before it takes effect.
